This document contains key terms used across the DocStudio documentation.
Use this glossary to quickly interpret product terms, abbreviations, and platform-specific names.
Terms
Access level
Defines who can find and use a template, dictionary, scenario, or similar object.
Account
A top-level workspace that contains users, mailboxes, settings, and billing.
Account invite
An invitation that gives a user access to an account or mailbox.
Account Owner
The default system role with full account-level permissions in the admin panel.
Account permission
A permission that grants access to account-level actions in the admin area.
Active forwarding
A mailbox setting that enables automatic forwarding of incoming envelopes.
Admin panel
The administrative area where you manage account settings, users, mailboxes, integrations, and billing.
Advanced Electronic Signature (AES)
A digital signature type supported for signing and validation flows.
AI Assistant
An assistant inside an envelope that answers questions and keeps conversation history.
Application token
A token used for API access instead of an interactive sign-in session.
Approval
An additional review flow that runs alongside the main envelope processing flow.
Approval history
A record of approval actions, statuses, and comments for an envelope.
Approval route
A predefined approval path that defines who reviews an envelope and in what order.
Archive configuration
A template version setting that adds extra files to the downloaded envelope archive.
Attachment reuse
Reuse of an attachment UUID from one scenario step in a later scenario step.
Audit log
A log of account activity used for tracking actions and reviewing changes.
AUTO flow
A processing flow where the system determines recipient order from role types.
Balance details
A billing page that shows account events, counters, and balance-related activity.
Billing plan
A subscription plan that defines available limits and billing behavior.
Bluetooth token
A hardware token used to read or apply an electronic signature through Bluetooth.
Callback
A webhook-style notification sent when an envelope matches configured conditions.
Cloud signature
A QES signing method that uses a remote signature service instead of a local key file.
Comment
A discussion entry attached to an envelope for collaboration and clarification.
Company account
An account registered for an organisation and filled with company-specific data.
Connection details
A block that shows generated or required integration connection parameters.
Contact
A saved recipient record that you can reuse when sending envelopes.
Conversion rule
A rule that transforms incoming or outgoing files into another structure or format.
Corporate user
A user associated with a verified domain and managed by an account administrator.
Custom dashboard
A mailbox-specific dashboard that replaces the default dashboard view.
Dashboard
The main landing area for common actions, shortcuts, and recent work.
Danger zone
A section that contains high-impact actions such as deleting a mailbox or removing all users.
Default mailbox
The mailbox that DocStudio uses automatically when only an email address is provided.
Dictionary
A structured dataset used as a source for selectable values in templates and envelopes.
Domain
A company email domain that can be added, verified, and linked to account access rules.
Dynamic field
A placeholder element in a template that collects or displays data during completion.
Dynamic table field
A table field that supports repeatable rows and field logic inside a template.
E-ink signature
A handwritten-style signature placed with a mouse, touchpad, or touch input.
Electronic signature
A digital mark applied to a document to confirm intent.
Embed code
An iframe snippet that starts envelope creation from a public template link.
Envelope
The main business object used to send documents through signing, approval, or review flows.
Envelope archive
A downloadable ZIP package that contains signed files and related envelope data.
Envelope chain
A linked set of envelopes that belongs to one ordered sequence.
Envelope expiry day
A template setting that defines when envelopes created from the template expire.
Envelope flow status
The current state of an envelope in the invitation or completion flow.
Envelope forwarding
Automatic rerouting of incoming envelopes from one mailbox to another.
Envelope ID (UUID)
A unique identifier assigned to a specific envelope.
Envelope metadata
Additional key-value data attached to an envelope through the API.
Envelope report
A generated file that summarizes envelope data and statuses.
Everyone access
A template access type that exposes a template to all users on the platform.
External document
A file added to an envelope or template from outside the structured editor.
External link
An account-level link that admins publish for users in the platform UI.
Favorites
A template category that stores templates marked with the star icon.
File upload field
A field that allows the recipient to attach an external file to the document.
Incoming conversion rule
A rule that converts incoming files before they are processed as documents or envelopes.
Integration
A configured connection between DocStudio and an external system or transport.
ITN
A tax or identification number used in account, company, and signature scenarios.
Lookup field
A field that returns dependent values based on a selected dictionary record.
Mailbox
A working entity that sends, receives, stores, and processes envelopes.
Mailbox alias
An additional identifier assigned to a mailbox for addressing and search.
Mailbox permission
A permission that grants access to mailbox-level actions in the main application.
Mailbox role
A mailbox-level role that can be assigned automatically when a corporate user gets a mailbox.
Mailbox visibility
A mailbox setting that controls whether other accounts can find the mailbox.
Microsoft Office Viewer
A browser preview mode for supported external documents and attachments.
My account access
A template access type that makes a template available to all mailboxes in the same account.
One-to-many condition
A scenario condition that evaluates table rows and can create multiple envelopes from one source.
Outgoing conversion rule
A rule that transforms outgoing documents before export or delivery.
PadES field
A template field that places a PadES electronic signature placeholder in a document.
Payment method
The saved billing details used for plan payments through the configured payment provider.
Personal account
An account registered for an individual user instead of a company.
Recently Used Templates
A dashboard block that shows templates opened or used most recently.
SAML 2.0
A federation protocol used to configure single sign-on with an external identity provider.
Scenario step condition
Logic attached to a scenario step that controls branching or multi-envelope creation.
Selected mailboxes access
A template access type that shares a template only with chosen mailboxes.
Session policy
A set of rules that controls session lifetime, login attempts, and IP-based sign-in restrictions.
Signing document certificate
A certificate page in the archive that lists document, envelope, signer, and signature details.
Simple condition
A scenario condition that returns true or false for one source envelope.
SSO provider
An identity provider configuration linked to a verified domain for corporate sign-in.
Static table
A table block in a structured template with fixed rows and columns.
Stripe
The payment provider used to store payment details and process billing methods.
Subject autoformat
A template setting that builds the envelope subject from prefix text and selected fields.
System role
A built-in role, such as Account Owner or Mailbox Owner, that cannot be deleted.
Table context menu
The right-click menu for tables in the template editor with AI, paste, border, row, and column actions.
Template category
A grouping used on the Templates page, such as Favorites or other list views.
User report
An exported file that lists users, roles, permissions, and mailbox access in separate sheets.
Waiting for you
An envelope status that marks items requiring action from the current mailbox.
